Space Cancellation
All cancellation requests must be made in writing. A $200 per booth cancellation fee will be charged for all cancellations before August 1, 2000. No refunds will be made after August 1, 2000.

Set-Up Procedures
Set-up time for exhibitors is Friday, September 27, 9:00 am to 5:00 pm, and Saturday, September 28, 8:00 a.m. to 9:30 a.m.

The exhibit hall is in the Hyatt Regency, our headquarters hotel. We encourage exhibitors to send materials in advance to the decorator (see shipping address & labeling instructions below). Exhibitors may bring materials to the loading dock during set-up hours. GES personnel will deliver the cartons to your booth. Exhibitors may deliver to the booths themselves only what they can carry in their hands.

Exhibitors must wear badges to enter the exhibit hall during all hours (see badge information below).

Shipping Addresses
Please note that vendors can reduce drayage costs by
· Shipping all of their materials at the same time
· Shipping books for autographing& speakers to the special address for that purpose

Parking
Parking is FREE. The Hyatt Regency is located on the grounds of Fairlane Town Center, a large mall with the predictable acres of free parking.


Exhibitor Badges
Exhibitors must complete badge reservation forms.

· Exhibitors receive free badges with booth reservation according to the following formula: 3 for 1st booth, 1 each for each additional booth
· Additional badges may be ordered at $20 each
· Authors and publicists accompanying authors receive free badges
· Temporary exhibit setup badges will be available (Friday only) to registered exhibitors if they haven't gone to the regular registration area prior to going to the exhibit hall.

All badges and tickets will be held for pickup at the registration desk at the show. None are mailed in advance. Confirmations will be made by fax or mail as soon as processed


Badge & Ticket Cancellation
All badge & ticket cancellation requests must be made in writing and received at the GLBA office by Friday, September 20. No badge or ticket refunds will be made after that date..


Pre-Show Publicity & Trade Show Program
· Special Offers Flyer:
Your special offer will be listed in a special flyer mailed to booksellers about one month in advance of the show. Copy deadline: July 30, 2002.
· Trade Show Program:
The program is distributed to attendees during the show. Exhibitors receive a full listing of their location on the trade show floor, the contact person at the booth, mailing and E-mail address, phone and FAX number and special offers and promotions. Copy deadline, August 27, 2002
· Display Advertising
The trade show program also includes display advertising. Please call GLBA to reserve ad space in the program. Copy and camera-ready ads are due August 27, 2002.

The book & author events are great social events as well as literary events. We encourage exhibitors who want to entertain customers to take them to the GLBA food events. You may reserve tickets - or whole tables - on the exhibitor registration form.

Workshops & Autographing
The GLBA presents a full slate of workshops on Friday and Sunday. All participants, including exhibitors, are invited to attend. Workshops also provide unique opportunities for participation by publishers, reps, and authors as panelists. To suggest ideas or nominate panel participants, use our Call for Authors & Presenters form.

Support for Literacy, Libraries, and the First Amendment
Publishers can help support these good causes by:
· Donating item(s) for the Silent Auction (supports GLBA First Amendment efforts)
· Attending the food & author events (a portion of each ticket is donated to literacy)
· Donate booths at the end of the show (the books will go to local libraries)

GLBA Membership
Membership in GLBA is only $75 per year for Affiliate Business members. In addition to discounted exhibit fees, membership provides many other benefits.
